Job description

The Project Support Officer plays an important role within the Home Office’s Digital, Data and Technology Directorate (DDaT) and is positioned within PPPT.

Police & Public Protection Technology (PPPT) Portfolio is responsible for several high-profile portfolios delivering significant capability on a national scale. The portfolio is a mixed team of highly motivated and passionate civil servants, consultants and contractors working together to drive digital ambitions, design appropriate solutions and deliver digital services quickly and effectively.

You will gain valuable experience of being part of a high performing team that provides essential project support functions to enable the delivery of high profile, transformational technology projects, at a time of unprecedented technological and political change.

You will work closely with the portfolio’s risk and issue Lead as well as the Project Management Offices across PPPT and will provide project management support in the relevant business area to projects / sub-projects which are delivering targeted benefits and improvements for the Home Office. This will include, providing insight, information and support that strengthens portfolio risk and issue management and informs decision making, maintain central records and provide reports to the Senior Management Team, act as a point of contact and support the portfolio with training and workshops.

To succeed in this fast-paced role, which receives a high level of scrutiny, you will support the Senior Leadership Team (SLT), through creation of monthly reports and the SLT risk and issue meeting. You will also be proactive and detail-oriented, with the ability to work collaboratively and confidently with stakeholders. You will be an effective communicator who can tailor messaging according to your audience. You will also be logical in your thinking, able to problem-solve and manage priorities within tight deadlines.

You will have the opportunity to develop a broad range of effective project support skills and enhance your experience in a technology focussed area.

This role within DDaT aligns to the Project Delivery profession, for Project Delivery professionals in Government.

Person specification

Your main day to day responsibilities will include:

  • Working closely with (senior) project managers to implement and maintain appropriate systems to enable effective project planning and scheduling.
  • Coordinating and producing project reports for the wider project team / senior managers, e.g. monthly portfolio reports, reports for the risk community of practice and bi-monthly SLT risk and issue meetings and ad hoc reports as required.
  • Ensuring project support administrative tasks are carried out efficiently, e.g. manage the PPPT PMO inbox, admin support for the Mural platform and acting as a point of contact and subject matter expert on risk management.
  • Managing potential risk areas, through the maintenance of the project Risk, Assumption, Issue and Decision (RAID) logs. Escalating issues as appropriate and preparing data for risk reporting as required.
  • Building and maintaining professional relationships with a wide range of internal and external project stakeholders, senior leaders etc.
  • Supporting the risk lead in achieving L3 risk maturity across PPPT by attending regular meetings with risk leads and providing guidance and chairing the meeting on an ad hoc basis.

You will also be expected to carry out the following day to day activities:

  • Undertaking any other grade appropriate administrative tasks to support the Project Manager and wider project team.
  • Providing ad hoc PMO support as needed to other areas programme/ workstream/ PPPT Portfolio.

Note: The post-holder may be required to carry out other duties within the scope of the grade and within the limits of their skills, competence and training.

Essential criteria

You will have a passion for project work with the following skills or strong experience of working as a member of a project team.

  • Have previous experience of working in a project / programme environment.
  • Have strong project management and organisational skills, with an understanding of planning, risk management, dependency management, and administrative processes.
  • Building productive relationships with internal and external stakeholders at all levels.
  • Have strong verbal and written communication skills, with the ability to translate technical jargon into easily understandable information for different audiences.
  • Collating and interpreting data to produce insights and reports.
  • Possessing a good level of IT literacy e.g. Word, Excel and PowerPoint.

Qualifications

  • Willing to undertake a qualification in risk management.

Desirable criteria

Ideally you will also have the following skills or some experience in:

  • Understanding of different methodologies used in project delivery environments, such as Agile and an understanding of PRINCE2.
  • Using Microsoft Visio and Project.
  • Demonstrating experience of working/supporting large scale projects or programmes.
